By engaging our services, you agree to the following terms and conditions, which govern our relationship regarding your event.
1. Booking and Reservation
To secure a date for your event, a non-refundable deposit of 40 percent of the estimated total is required, along with a signed copy of these Terms and Conditions.
* Initial Estimate: All quotes are based on current market costs and the estimated guest count provided at the time of inquiry.
* Date Hold: No date is confirmed until the deposit is received.
2. Final Guest Count and Menu Selection
High-end seated dining requires precise planning.
* Menu Finalization: Menus must be finalized no later than 10 days prior to the event.
* Final Guest Count: A guaranteed guest count is required 10 days before the event. If the actual number of guests is lower than the guarantee, you will still be charged for the guaranteed number.
* Increases: We will do our best to accommodate last-minute increases, but they will be subject to additional surcharges and ingredient availability.
3. Pricing and Payments
* Final Payment: The remaining balance is due 3 days prior to the event date.
* Market Fluctuations: Due to the seasonal and premium nature of our ingredients, OralEncore reserves the right to adjust pricing should market costs for specific items (e.g., seafood, wagyu) increase by more than 10% between booking and the event. Clients will be notified immediately of any necessary substitutions or adjustments.
4. Styled Event Curation & Rentals
Our curation services involve high-value aesthetics, including linens, florals, and specialized tableware.
* Damage/Loss: The Client assumes full responsibility for any damage to or loss of rental items (breakage of crystal, staining of bespoke linens, etc.) caused by guests. A damage deposit or replacement fee may be applied.
* Third-Party Vendors: If we manage third-party vendors (florists, furniture hire) on your behalf, we act as your agent. Their specific terms of service also apply.
5. Travel and Logistics Fees
[Business Name] is based in [Your City/Base Location]. To ensure the integrity of our ingredients and the punctual arrival of our service team, the following travel policy applies:
* Complimentary Radius: Service is inclusive of travel costs for any event located within a 20-mile radius of our primary kitchen facility.
* Extended Travel Fee: For events located outside the 20-mile radius, a travel fee of $1.50 per mile (round trip) will be applied. This fee covers fuel, vehicle maintenance, and the additional labor hours for our professional staff.
* Off-Site Requirements: For destinations exceeding 40 miles, or those requiring overnight stays, the Client may be responsible for additional lodging and per diem costs for the culinary and service teams. These costs will be transparently outlined in your initial proposal.
6. Cancellations and Rescheduling
* Cancellations: If the event is canceled within 3 days of the date, the Client is responsible for 70 percent of the total estimated cost to cover lost revenue and administrative labor.
* Rescheduling: We allow one date change (subject to availability) if requested more than 10 days in advance. A rescheduling fee may apply.
7. Dietary Requirements and Allergies
We take pride in accommodating dietary needs with the same level of excellence as our standard menu.
* Notification: All allergies must be disclosed at the time of the Final Guest Count.
* Liability: While we take extreme care to prevent cross-contamination, our kitchen handles nuts, gluten, and dairy. OralEncore cannot be held liable for trace-level reactions.
8. Venue and Logistics
* Access: The Client must ensure the venue provides adequate access for setup (minimum 4 hours) and breakdown.
* Facilities: If the venue lacks a professional kitchen, additional "Field Kitchen" equipment fees may apply to maintain the integrity of a high-end seated service.
9. Force Majeure
OralEncore shall not be liable for failure to perform duties due to "Acts of God," including but not limited to extreme weather, fire, or government-mandated restrictions. In such cases, we will work with the Client to reschedule.
